Private Events

Learn how to set up private events for your exam delivery.

Access to certain features is restricted based on role type in an effort to reduce item exposure and promote process integrity. Please see the member role description page for information on permissions.

In addition to the standard methods of exam delivery (online proctored, onsite, etc.), we offer the ability for you to host a testing event. Utilizing a Private Event as your method of delivery allows you to set up group testing at your organization, at a sponsored event, at a conference, or any other special occasion where you’d want provide attendees an opportunity to take an exam.

Private Events

You can use Private Events module functionality to:

  • Create and update unique, private testing events

  • Manage design of a custom splash page for each event in Webassessor

  • Quickly assign channels (with their associated exams) to those private events

  • Easily access the many details available for scheduled, completed and canceled candidate registrations

  • Assign event administrators to each private event and remove them

  • Augment single-factor candidate authorization with an optional and easily managed second-factor security code, which can be instantly updated, as needed

Private Event Details

Details

  • Facility Code

    • Lists a unique, system-generated, eight-alphanumeric-character ID for the private event record with a CTE prefix. However, facility codes are assigned in numeric order, by region.

  • Testing Event Name

    • Lists the user-defined designation for this private event record.

  • Edit

    • Select the ‘edit’ button to update the Details, Notes and Launch Page Setup tabs of this record via the Details screen.

    • You can only access an Edit Private Event mode tab from a Private Event Details mode record using the ‘edit’ button.

  • Done

    • Select the ‘done’ button to exit the current screen display. Webassessor automatically reopens the Private Events Management screen.

  • Main Contact Name

    • Lists the name of the person primarily responsible for managing inbound communications for this event.

  • Main Contact Email

    • Lists the preferred email address of the main contact.

  • Limit Future Schedule Access

    • Lists the maximum number of days in the future that candidates and admins can view and register for this private event in the Date and Time Selection screen.

  • Delayed Hours for Scheduling

    • Lists the number of hours in the future that the private event schedule is masked in the Date and Time Selection screen to prevent short notice candidate registrations.

  • Address Line 1

  • Province / State

  • Zip / Postal Code

  • Country

  • Time Zone

  • Creator

    • Lists the first and last name of the site administrator who generated the item.

  • Date Created

    • Lists the date that this record was generated. The date format is: DD Month YYYY.

  • Last Modified By

    • Lists the first and last name of the site administrator who most recently updated this record.

  • Date Modified

    • Lists the date that the current private event record was last modified. The date format is: DD Month YYYY.

  • Event Status

    • Indicates the private event's current status.

    • Available

      • Candidates can choose to attend the private event just as they would select an available test center.

    • Not Active

      • Default setting. The event is unavailable.

      • Candidates cannot register for it.

  • Important Location Information

    • Lists user-defined information pertinent to the location.

    • This description is automatically forwarded to candidates who have registered for this event as part of their registration confirmation email.

Channels

  • Status

    • image-20240919-171541.png Active - Indicates that the channel can be used to distribute exams associated with it for the current private event (record).

    • image-20240919-171546.png Inactive - Indicates that the channel cannot be used to distribute an exam. This is because an exam can only be assigned to an Active channel.

      • Default status for new records.

      • While in Inactive status, the channel will not appear in the Channel field drop-down menu of the exam.

  • Client

  • Name - The name of a channel associated with this private event record.

  • Description - A user-defined, summary overview of the channel, if available.

Schedule

  • The Webassessor (WA) Manage Private Event Schedule screen enables creation of two different types of event schedules:

    • Recurring Schedules - standard hours of operation created for a given type of period: weeks, months or years.

    • Daily Schedules - used to create schedules of a very limited nature, as when the testing center is open only a few days a week.

    • You can also create exceptions to standard schedules.

    • The image must be hosted online because you will need to provide the image address URL for the image for it to populate.
