Self-Service

Learn how to use the self-service reporting tool to analyze your data.

Access to certain features is restricted based on role type in an effort to reduce item exposure and promote process integrity. Please see the member role description page for information on permissions.

You will find a variety of standardized, self-service reports available to you in Webassessor. Although these are standardized, you do have the ability to customize, label, and save your own reports for repeated use.

How to Use Self-Service Reports

While the fields and criteria vary from report to report, there are general components to this feature that you will use regardless of the type of report you are running.

General

This is screen is the first of the three screens you must populate to generate a report.

  • Report Name - Your (optional) custom label for the report. This is required if you intend to save the report

  • Report Title - The standard title for this report type. You can update this if desired

  • Save - Saves the report to your My Reports section

  • Save & Run - Saves the report to your My Reports section and runs the report for you to view

  • Run Report - Runs the report for you to view but does not save the settings for future use

  • Cancel - Exits the report page without saving and returns you to the main self-service page

When you run the report, you have three viewing options:

  • CSV

  • Excel

  • PDF

Details

  • Records Per Page - select how many records you desire to see per page:

    • All

    • 10

    • 25

    • 50

    • 100

  • Group by - There will be no grouping set as the default option. If you would like to group variables, you can choose a variable from a dropdown list that will have the relevant variables for the respective report type you are running

  • Show Custom Fields - Checking this box will include custom fields that have been configured for the region (Site Administrators must populate the Client Region field in the Client Region section below)

  • Client Region* - Allows for running a report across multiple regions or a single region

*Client Region is only visible to Site Administrators.

Report Fields

This screen is the second of the three screens you must populate to generate a report.

The fields available vary from report to report. You must flag the adjacent ‘Show’ check box to include data associated with a field in the report.

Additionally, you can customize the order the rows appear in the report, the display name of the fields, and the format justification of the fields to specify the alignment (left, centered, right).

Report Criteria

This screen is the third of the three screens you must populate to generate a report.

You will use this screen to select the desired record filter criteria. A list of filter options will be populated for you to choose from. You can check the ‘Use?’ checkbox for any desired filter fields to use for the report.

Available Reports

  • Candidates

    • View candidate demographic information and keep track of the size of your candidate population.

  • Registrations

    • Assess a wide range of candidate registration and payment data. Selection criteria include registration and assessment status, payment methods, first and last names, delivery type, testing location (address), etc.

  • Assessment Results

    • View test form and topic results in conjunction with a wide range of associated data, such as candidate demographic information, pricing and testing location details.

  • Question Results By Test

    • View the number of correct, incorrect, and unanswered instances of one item / all items in one test / all tests, by item type or date (range), as needed.

  • Test Form Comments

    • Assess candidate comments on specified test forms in conjunction with candidate demographic information, test scores, testing locations, exam completion dates, etc.

  • Item Comments

    • Assess candidate comments on specific items for one or more test forms n conjunction with candidate demographic information, item scores, testing locations, exam completion dates, etc.

  • Topic Scoring

    • View the average cumulative score for each topic in a selected test form, over the life of the topic. Associated reporting options include the assessment's name, topic codes, and names, the maximum score and the percentage score.

  • Registrations Refunds

    • Assess refunds generated for completed registrations, by date of refund, purchase price, method of payment, candidate name, etc.

  • Full Item Bank

    • Assess individual items in your item banks (and item folders) by item bank, date created / modified, candidate notes, etc. Reports data for all regions of the specified client.

    • Note: Only available to site administrators at the client level.

  • Topic Scoring by Candidate

    • View topic scores for each topic in selected test forms, by themselves or by candidate. Associated reporting options include test form names and codes, candidate names, the maximum and percentage scores, etc.

  • Cancellations

    • Assess registration cancellation characteristics. Associated reporting options include date registered, assessment status, cancellation type, testing location, etc.

  • Voucher Code

    • Use the Voucher Code report to assess voucher usage characteristics. Associated reporting options include date registered, assessment status, voucher code, candidate name, exam name, testing location, etc.

    • Note: Only available to site and candidate administrators at the client level.

  • Remaining Voucher Report

    • Use the Voucher Code report to assess voucher usage characteristics. Associated reporting options include date registered, assessment status, voucher code, candidate name, exam name, testing location, etc. Reports data for all regions of the specified client.

    • Note: Only available to site and candidate administrators at the client level.

  • Candidates Without Registrations

    • Use the Candidates Without Registrations report to identify candidates that haven't registered for an exam as of a specified date (range). Associated reporting options include candidate demographic information, notes, and the applicable supervisor.

  • Promotion Codes Assigned to Candidates

    • Use the Promotion Codes Assigned to Candidates report to assess voucher assignment by candidate. Associated reporting options include candidate demographic information, voucher batch name and voucher code. Reports data for all regions of the specified client.
